Flatten when
- You are sharing finalized forms externally
- Approval is complete
- You need to preserve exact visible values
Do not flatten when
- Recipients still need to edit fields
- Collaboration is active
- Signature collection is pending

- Draft in editable form.
- Validate and review.
- Flatten final version for distribution.
- Archive both editable and flattened copies.
Cross-tool workflow
For large packets, you can Split PDF before edits, flatten completed parts via Flatten PDF, and then Merge PDF into a final bundle.
Governance note
Flattening protects integrity, but only if used at the right lifecycle stage. Policy beats ad-hoc decisions.
